Step 4: Solution Plan

The purpose of this plan is to get you and your system to a point where you can comfortably decide if our solution is a good fit for your wholesale operation.

So far, you’ve completed Step 1 and 2 of Live in 5. In Live in 5, Step 3 (Solution Clinic) you shared with us your workflow for order to cash, and the purchasing of stock.

In Live in 5 we gave you a personal system. You can continue using this as a ‘Sandbox’ to try out things and explore.

Solution Modeling

The purpose of this ‘Solution Modeling’ step is to create a system you can prepare for live operations, and continue to learn and build your knowledge of Salesorder, and acquire the skills you and your team need to move forward.

We’ll create this new Reference system for you. It will eventually be your Live system. You’ll use this new system to:

  • Bring in your own data. We call this activity ‘Data Migration’.

  • Try out workflows and tasks using your own familiar data. We call this activity ‘Workflow Exploration’.

  • Connect other solutions to your Salesorder system, i.e. Shopify for B2C transactions. This includes Plugins from our Plugin Store, i.e. Payment Processing. We call this activity ‘Add ons’.

  • As you work through the above exercise, you’ll probably want to learn more, e.g. Accounting, and have questions. You and your team have full access to our learning center, and by appointment or email access to our expertise. We call this activity ‘Learning’.

We call the above combination of activities, Solution Modeling (Live in 5, Step 4).

Learning: Get your users to learn.salesorder.com

Learn.salesorder.com is our online education platform. It’s an evolving collection of courses for Salesorder users. You should get all of your users to register at:

Depending on the role of your users in your team, they can choose which courses they want to take. To help you guide your users to courses they need, here’s a few suggestions. Feel free to customize training for your users. If you need more courses just let us know!

Every user?

Do the following:

  • Salesorder Grand Tour: We recommend every user does the ‘Grand Tour’ course. This will give them an overall appreciation of the Salesorder system.

  • Live in 5, Step 1 and 2: We encourage every user to have their own ‘playground’ system. This gives them a safe place to explore, try and practice things. Get every user to enroll in Live in 5 and take the first two courses. (Step 1 and Step 2). If they do this they’ll be given their own system.

  • User Controls: There’s an overlap between what’s in Step 1 and Live in 5 here, however, get your users to check this out.

  • Email and helpful tools: We recommend every user does this course.

Accounting?

Three courses:

  • Accounting 101 and Banking

  • Sales Accounting - Accounts Receivable.

  • Purchasing Accounting - Accounts Payable.

Warehouse?

  • Warehouse Management System WMS.

If you decide you need the WMS, please let us know.

Sales?

  • CRM

  • TAP

  • Dropshipping (if applicable)

Order Management?

  • Order Management

  • Inventory

Purchasing?

Data Migration

The objectives of this task are twofold:

  • Bring over some or all of your data to enable you to work with your data whilst you evaluate Salesorder.

Your Master (ASIC) Data is currently stored either in 3rd party accounting software, or in Quickbooks

What’s ASICS?

  • A - Chart of Accounts and accounting data.

  • S - Supplier Masters and Purchasing related transactions.

  • I - Items SKU data.

  • C - Customer Master and Sales-related transactions.

To migrate your ASIC data to Salesorder, you have three choices:

  • Quickbooks Transformer

  • Import Templates

  • Quickbooks Desktop as a data migration ‘bridge’

About the Quickbooks Transformer

The Quickbooks Transformer is a tool developed by us, to simplify and accelerate the migration of data from Quickbooks to Salesorder.

The Quickbooks Transformer securely reads the above data from your Quickbooks Desktop* Company file. The data is transformed to the format required by Salesorder.

The Quickbooks transformer creates a new Salesorder system and writes the transformed data into the new system.

The Quickbooks transformer can also be run to update the data in Salesorder. For example, you might do this update during your evaluation or when you begin the go live launch sequence.

About the Import Templates

Quickbooks Desktop as a data migration ‘bridge’

Quickbooks Desktop is one of the leading accounting software solutions. Intuit developed Quickbooks desktop. As a result of its success and prominence, Intuit and other software vendors have developed tools and methods to migrate data from other software applications to Quickbooks Desktop.

Data can be moved from a third-party application to QuickBooks Desktop and then from Quickbooks Desktop to Salesorder via the Quickbooks Transformer.

Use a search phrase like “sap to QuickBooks desktop migration” (example)

Pre-scoping your data migration strategy

When you’re focused on determining your options for your data migration strategy, you must consider the broader and downstream task of migrating your Transactional Data and your Static Data.

If you have any doubts or questions, we’re here to help.

Workflow Exploration

This is a subjective activity. We strongly recommend you begin by writing a list of workflows you want to try out.

As a minimum, you must complete the following:

  • Customer Order to Cash.

  • Purchase Order to Supplier payment, including receiving SKUs.

Learn.salesorder.com, specifically Live in 5, Order Management, and the Accounting Courses, contain many workflows you’ll want to try. Go explore!
